Getting started
Stirwell lives at stirwell.pages.dev. Set it up once and it opens like any other app.
- Open stirwell.pages.dev in Safari on your iPhone.
- Tap Share, then Add to Home Screen, then Add. Always open Stirwell from this icon, not a Safari tab.
- Sign in with the email and temporary password your admin gave you.
- Leave Keep me signed in on this phone ticked. Untick it only on a shared device, like the bar iPad.
- Go to Account and type your name under Your name, then Save name. Your name appears in History and on recipes you share.
- Still in Account, change your temporary password under Change password.
To stay signed in for good, use the home-screen icon. iPhone can clear sign-ins for Safari tabs you haven't opened for about a week.
Finding your way
The bar along the bottom has five sections. Inventory is where all stock work happens, split into five tabs across the top.

Venues and your team
Stirwell can run several bars. Everything (stock, counts, history, stocktakes, checklists, signature and team recipes, notifications, the widget) belongs to one venue, and people only see the venues they've been added to.
- Choosing a venue: if you belong to more than one, Stirwell asks which to open after you sign in. To change, tap the venue name in the header (or Account → Switch venue).
- Roles: the owner sees every venue and can add new ones. A venue admin manages par levels, bottles, floors, checklists and staff for that venue. Staff belong to one venue and count, tick tasks and add recipes.
- Adding someone (admins): Account → Team → Add someone. Type their email, choose the role, then either set a temporary password to give them, or email an invite link (this needs email set up in Supabase).
- Adding a venue (owner): on the venue list, tap + Add a venue. You can copy the checklists and the bottle list (with par levels, prices and photos) from another venue; counts start empty.
- Recipes: classics show everywhere. Signature and team recipes stay in their venue. Your own personal recipes follow you to every venue you open, and private ones stay private.
- Exports: the Excel sheet, PDF records, manager messages, backups and file names all carry the venue name.
Doing a stock count
All counting happens in Inventory → Count. Nothing is shared with the team until you tap Save count.
- Start a new count (once per stocktake, usually by the person leading the count). It moves last time's closing figures into opening and clears the counts. Tap it twice to confirm.
- Choose a layout.
- Tiles: every bottle on one screen. Use the floor chips (for example First floor, Ground floor) to choose which floor you're counting, then use − and + on each bottle.
- Single: one bottle at a time with big buttons. Each floor has its own row with its name on the left, and the total updates underneath. Use Back and Next to move through, and the category chips to jump.
- Count. Spirits go up and down in quarters (0.25 = a quarter bottle). Soft drinks and cans count in whole units. You can also tap the number and type it.
- Do the maths in the box. Counting in several places? Type 48+36 and it counts as 84. Use the + − × ÷ keys that appear above the keypad, for example 4*24 for four cases of 24. Tap = or move on and the box shows the answer.
- Save count. The bar at the bottom shows Unsaved changes until you do. Save every few minutes on a long count.
Two people can count at the same time, for example one per floor. Each person's saved counts appear on everyone's phone within seconds.
The Inventory tab always shows the total across all floors and can't be edited, so you can check stock without changing anything by mistake.
Orders, stocktakes, history and Excel
- Order list: lists every bottle below its par level and how many to order (par minus current count, rounded up). Tap Copy list and paste it into the supplier message.
- Stocktakes: after a full count, tap Save a snapshot now. Each snapshot keeps that day's counts so you can compare weeks and see what was used.
- History: every saved change shows who made it and when. Use the filter box to find one bottle or one person.
- Excel: in the Inventory tab, tap Export Excel. You get a branded stock sheet with a column per floor, the total and a Reorder / OK status, ready to email or print. Bottles with no par level show No par set (or Out at zero); set a par to get Reorder / OK.
Cocktails
Every cocktail is checked against the last saved count, so you know what you can make before service.

Fresh juice, syrups, egg white and wine aren't checked, so make sure they're prepped.
Finding a cocktail. Use the chips: IBA categories, Signatures, Own creations (yours), a tab per teammate such as Jane's recipes, Team creations (shared by people without a name set), and Only me (your private ones). Open a cocktail for its spec, price, pour cost and batch maths.
Adding your own recipe.
- Tap + Add a cocktail.
- Fill in the name, type (Signature, Own creation or Classic), base spirit and price.
- Add each ingredient in ml (0 for dashes). Link it to a bottle in stock so the app can check whether you can make it.
- Under Who can see it, choose The whole team or Only me (private).
- Tap Save cocktail. If you haven't set your name, the app asks for it so the team sees who made it. You can skip and it goes under Team creations with your email.
Only the person who added a recipe can edit or delete it, admins included. Private recipes can't be seen by anyone else in the app. About → Privacy explains exactly how that works.
Daily tasks and checklists
Tasks holds the bar's checklists. Everyone sees the same lists live, and every tick shows who did it and when.
- Today shows Opening and Closing with how much is done, the weekly count when it's due, the manager list, and any weekly or monthly job that's due. Tap a list to open it.
- Tick a task by tapping its box. Tap again to untick (only you or an admin can untick your tick). Add note records anything worth knowing, like "grapefruit not delivered".
- Fridge temperatures: type each fridge's reading. The task ticks itself once every fridge has a reading. Anything over 8 °C turns red; add a note on what you did about it.
- Deadlines: opening and the morning temperatures are due by 12:00. After 12:00 the morning check can't be filled in: temperatures then go in the closing check, due by 23:59. Closing has no other deadline.
- The day runs from 05:00 to 05:00, so a late close still counts as that night.
- Weekly stock count is due on Monday at opening. It ticks itself as soon as anyone saves a count; Count takes you there.
- Tell the manager builds itself from the latest count: bottles at 0 are Out, bottles below par are Low. Add anything not counted (like lemons) by hand.
- Send to manager: at the bottom of Opening and Closing (and on the manager list). It opens your share menu with a short summary: done or not, who did it, temperatures, notes, and what's out or low. Pick WhatsApp or any chat. Sending it ticks Tell the manager and keeps a copy of the stock list in History. If the list isn't finished, the message says what's still not done.
- Weekly and Monthly jobs show on their day and stay until they're done. A red number on Tasks means something is late or overdue.
- History shows any past day: what was ticked, temperatures and notes.
- PDF record: in History, choose the days (or tap Yesterday, Last 7 days, Last 30 days) and tap Make PDF. It holds a temperature log, every checklist with who ticked what and when, and the weekly and monthly jobs. Then Share or save: send it on, or save it to Files. The PDF is made on your phone when you ask for it, and Stirwell doesn't keep the file. Make it again any time; the records stay in the database.
- Reminders on your phone: go to Account → Notifications and tap Turn on for this phone. You get: opening due (11:30), closing temperatures (23:30), the Monday count (10:30), out of stock (11:00) and jobs due (15:00), only when something is still not done. Switch any of them off, and pick days with no reminders (Sunday is off to start with). On iPhone, add Stirwell to your Home Screen first and open it from there. Each person turns them on for their own phone; signing out turns them off.
- Red number on the app icon: the same count as on Tasks (late or overdue). On iPhone it shows once notifications are on.
- Home Screen widget: in Account → Home Screen widget, tap Make a widget and follow the steps. It uses the free Scriptable app, shows today's progress, temperatures and stock at a glance, and updates about every 15 minutes. Cancel a widget there any time (for example, if a phone is lost).
- Admins can open a list and tap Edit list to add, change, reorder or remove tasks, set a deadline, mark a task critical, or make it repeat weekly or monthly. At the bottom of Edit list, Clear today's ticks for this list starts the list again for today (for mistakes or testing). Admins also get a Late lists notification when opening isn't finished by 12:00 or closing temperatures aren't logged by 23:59.

Hiding a shared cocktail (admins). If a shared recipe shouldn't be there, open it and tap Hide from team. It disappears for everyone except the person who added it and the admins, who see it marked Hidden. The person who added it can still edit or delete it, but can't unhide it. An admin can tap Show to team at any time to bring it back. Hiding never deletes anything.
Good habits and quick fixes
- Save often. Unsaved counts live only on your phone until you tap Save count.
- Check the dot at the top. Green Live means changes reach everyone. If it says Offline, keep counting and save when you're back online.
- Shared device? Untick Keep me signed in when signing in, and sign out from Account when you're done.
- Forgotten password? Ask an admin to reset it.
- App looks out of date? Close it fully (swipe it away), then open it again.
- A bottle is missing from the list? Ask an admin to add it, with the exact name on the label.
- Admins: download a full backup from Account once a week and keep it somewhere safe.
